Lead Leakage Audit

Identify where your leads are getting lost after they enter your system.

Find Your Lead Leakage PointsSee what is included

No obligation. We reply within one business day.

  • First response times measured from timestamps, not self-report
  • WhatsApp, forms, Meta and Google traced on one map
  • Loss quantified from your own conversion rate and deal value

An enquiry nobody answered cost you exactly as much as one that closed.

Lead generation is the part everybody measures. What happens after the enquiry arrives is the part nobody does — and that is where the money goes.

We follow the full journey: source, capture, assignment, first response, follow-up, outcome. Each stage fails in its own way. We name which ones are failing for you, how often, and what it costs.

Find Your Lead Leakage Points

How it works

How the engagement runs

  1. 01

    Map every route in

Forms, WhatsApp, Meta lead ads, Google, phone, walk-in, referral. Including the two or three routes nobody remembered existed.

  2. 02

    Pull the timestamps

Submission time against first outbound contact, for every lead in the sample. Plotted as a distribution — the average always looks fine, the distribution shows the ones that waited eleven hours.

  3. 03

    Classify the losses

Never contacted, contacted once and abandoned, assigned to nobody, lost in an unmonitored channel, or closed with no reason recorded.

  4. 04

    Quantify it

Leaked leads multiplied by your historic conversion rate multiplied by your average deal value. Your numbers, with the working shown so you can argue with it.

  5. 05

    The improvement plan

A follow-up SOP, a CRM flow recommendation, and a fix sequence that closes the largest leak first.

Generating leads is the part everybody measures. What happens to them afterwards is the part nobody does — and it is where the damage is done. An enquiry that arrives and is never answered has cost you exactly as much to acquire as one that converts.

The Lead Leakage Audit follows the full journey: source, capture, assignment, first response, follow-up, and outcome. Every stage is a place a lead can stop moving, and each stage fails in its own characteristic way. We name which ones are failing for you, how often, and what it is costing.

The five places leads actually disappear

  1. Capture. Forms that error silently on mobile, a WhatsApp number pointing at a phone nobody carries any more, a Meta lead form whose CSV nobody downloads. The lead never reaches a human at all.
  2. Assignment. The lead arrives but belongs to nobody. Everyone assumes someone else picked it up, and it sits in a shared inbox until it is stale.
  3. First response. The lead is assigned but answered hours or days later, by which time they have spoken to two competitors.
  4. Follow-up. One attempt, no answer, effectively abandoned. Most enquiries that convert do so after several attempts, and most teams stop after one or two.
  5. Recording. The lead is worked and lost, but no reason is written down — so the same loss happens again next month with nothing learned.

What we trace

Lead source tracking, website forms, WhatsApp enquiries, Meta lead forms, Google Ads leads, CRM or Google Sheet usage, the assignment process, first response time, follow-up pattern, missed lead percentage, lost-lead reasons, and conversion bottlenecks. Where the data does not exist to trace something, that absence is itself a finding, and it goes in the report.

The deliverable

A lead flow map showing every route into the business and what happens on each one. A leakage report quantifying loss at each stage. A follow-up SOP recommendation with a cadence your team can actually sustain. A CRM flow recommendation. And a lead response improvement plan sequenced so the biggest leak is closed first.

The map is usually the moment it lands. Seeing every enquiry route drawn on one page — including the three nobody remembered existed — tends to end the debate about whether there is a problem.

Who this is for

Clinics, real estate brands, education businesses, coaching centres, service businesses, hospitality brands, and anyone whose revenue depends on enquiries or appointments. It is most valuable when lead volume is healthy but conversion is not, because that gap is almost always operational rather than creative.

Who it is not for

Businesses with very low enquiry volume. Below roughly 50 leads a month there is not enough data to distinguish a pattern from a bad week, and you would be paying for a study of noise. We would rather tell you now than invoice you first.

Why Auraa

Why businesses bring this work to us

We start with what is broken, not what is billable

Every engagement opens with a diagnosis. If more marketing is not what you need, we say so before you commit — which is why our first recommendation is sometimes a smaller one.

Findings carry a number you can check

Not benchmarks from a blog post. Your leads, your timestamps, your conversion rate and your deal value — with the working shown, so you can argue with the figure rather than take it on faith.

You own everything we build

Accounts, pixels, dashboards and documents live in your name, inside your business. Nothing is held hostage in an agency workspace, and access transfers cleanly whenever you want it to.

Claims we would be willing to substantiate

We write to what can be evidenced, disclose creator partnerships properly, and flag anything on your site that would be hard to defend. It is a conversion improvement and a risk reduction at once.
